ChatGPT at work: where to actually start

Everyone talks about it, few use it well. Where to start using AI in a small Italian business: the three uses that pay off immediately, the first-month mistakes and when it makes sense to get help.

In small businesses artificial intelligence lives a paradox: everyone talks about it, but in daily practice almost nobody uses it well. The owner tried it twice (“nice, but it writes strange things”), some employee uses it in secret, and meanwhile the sharper competitors have already handed it hours of work. Where do you actually start?

The three uses that pay off immediately

Emails and quotes. The draft reply to a client, the quote to set up, the reminder written in the right tone: these are the texts that eat the day. With AI set up properly — with your tone, your prices, your rules — they go from twenty minutes to two. It is almost always the right starting point.

Documents to read. Contracts to summarise, invoices to register, requests to sort: AI reads in seconds what costs you hours. The trick is giving it precise instructions and double-checking the first weeks — then it becomes routine.

Clients’ repetitive questions. Hours, prices, timing, “how does it work”: if 70% of the requests you receive are always the same five, those five can have an automatic answer — correct, kind and instant — leaving you only the conversations that matter.

The first-month mistakes

The first: using AI like a search engine, and concluding it “gets things wrong”. AI works well when you give it context — who you are, what you want, in what tone. The second: trusting blindly. AI makes things up, and does so confidently: everything it produces must be read before it leaves. The third, the most expensive: uploading sensitive data to free tools that use it for training. For client data you need the right tools, configured the right way.
